AI concierge for gymnastics clubs

Every parent. Meet-day ready.

MeetReady answers parent questions about meet-day logistics and your club policies, 24 hours a day, straight from your own handbook. Your coaches stay on the floor. Every family gets the same answer.

The problem nobody bills for

The parking lot is not a reliable source of information.

One parent hears something. It moves through the team group chat. By the time it reaches your office it has been through six people, and three versions of it are already circulating.

Tuesday, 6:40pm, lobby"I heard they're changing what it takes to move up to Level 4 next season."
Wednesday, team group chat"Apparently the Level 4 requirements are getting way harder in the fall."
Friday, someone's car"They're cutting girls from Level 4. That's why the Hendersons left."
MeetReady, from your handbook Level advancement follows the criteria in the 2026 Team Handbook, page 8, and those criteria have not changed. Skill evaluations happen in August with your daughter's coach. If you have heard something different, it did not come from the club. The front desk can walk you through the evaluation timeline.

This is not time savings. This is control of your own message.

How it works

Support staff in a link.

You hand over documents you already have. We do everything else.

First

You send us your docs

Handbook, meet schedule, parking notes, policies. That is the entire ask. Most gyms are live inside a week.

Then

Parents scan a QR code

Front door, welcome email, team chat. No app, no login, no password anyone will forget.

From there

Questions get answered

Warmup times, what to pack, where to park, what a rotation is. In plain language, at 11pm, without waking your coach.

Every week

You see what parents ask

A digest of top questions and the ones your documents could not answer. Fix the gap once and it stays fixed.

Who it serves

One product. Four relieved people.

Club owner

Fewer interruptions. One answer.

Stop paying staff to answer the same meet-day questions every season, and stop your front desk, your team director, and your handbook from giving three different versions of the same policy.

Head coach

Coach athletes, not logistics.

Your expertise stays on the floor. MeetReady is built to handle logistics and club policy only, and to decline coaching, technique, and injury questions and send them to you. Your methodology stays yours.

New team parent

Confident on day one.

Ask anything, at any hour, without feeling like the parent who does not know how this works yet.

Team families

Meet-day confidence.

From a first compulsory meet through Xcel and optionals. Terminology, rotations, and what actually happens on the floor, explained for the parent.

An example conversation

The question that used to reach your coach at eleven at night.

Answers come from your club's documents and public USA Gymnastics reference material. When a question is not covered, or when it needs a coach's judgment, it is built to say so and send the parent to you instead of filling the gap.

My daughter is Level 4. Why did she get a 0.5 deduction on vault?
A final score does not tell me which deduction a judge applied. The Level 4 vault table includes several faults worth up to 0.50, covering body position, support, height, and landing. I can walk you through those categories, but only her coach can tell you what the judge actually marked. He will have the score sheet at the next practice.
What time is warmup for Session 3 on Saturday?
Session 3 warmup is at 8:00 AM, with athlete check-in by 7:45 AM. Admission is $10 cash only at the door, and the spectator area opens at 8:30 AM.
Can we get a refund if she's sick that weekend?
I do not have that in your club's documents, so I do not want to guess on something that affects your money. The front desk can give you the exact policy.

The first and third answers matter more than the second. A concierge you can trust with your brand has to know what it is not allowed to answer.

Before you ask

What owners want to know first.

What if it tells a parent something wrong?

It is built to answer only from the documents you give us. When a question is not covered, it is designed to say so and route the parent to your front desk rather than guess. No system is perfect, which is why every question and every refusal is logged and shown to you weekly, and why your staff remains the authority on policy.

Does this replace my front desk or my coaches?

No. It absorbs the repeat questions that interrupt them. Coaching, technique, injuries, and judgment calls are outside its scope on purpose.

What do I actually have to do?

Send your handbook and your meet packet. We build it, brand it in your colors, and hand you a QR code. There is no parent app, and one short orientation for whoever owns your documents.

What happens to my families' information?

We never ask for a child's last name, birthday, email, phone number, or photo. A parent can optionally add a first name and a level, and that stays on their own phone. Conversations are logged so we can build your weekly digest and so you can review what was said. We will show you exactly what is stored before you send us a single document, and you can ask us to delete any of it at any time.

What if a parent asks about something serious?

It steps aside. MeetReady does not handle injuries, medical questions, coaching decisions, or concerns about athlete safety or misconduct, and it does not try to judge whether something is reportable. It shows your club's own reporting contact, the U.S. Center for SafeSport reporting line, and a reminder to call 911 in an emergency. MeetReady is not a reporting channel for your club, USA Gymnastics, or SafeSport, and typing a concern into it does not file a report.

What if parents just do not use it?

That is exactly what the pilot is for. You see real usage numbers before you ever pay anything, and you decide from there.

No contract. Month to month. Design partner pricing is available to the small number of clubs joining before this fall's season.

The math an owner actually cares about

Count the questions your handbook already answers and your staff answers anyway. Thirty a week is not unusual in meet season.

At five minutes each, that is ten hours a month. At a loaded staff cost of $30 an hour, roughly $300 in rework, before you count the coach pulled off the floor.

MeetReady runs $299 a month. During the pilot we count your actual volume, so you are deciding on your numbers instead of ours.

Ready to give parents their confidence back?

Request a free 60-day pilot, timed to start at your first meet of the season. Free setup, no monthly fee during the pilot, and no long-term commitment. On day 50 you see the numbers and decide.

Built by a gymnastics dad. I am Jesse Wu, a technical architect in Plainfield, Illinois, with four kids and two of them in the gym. MeetReady exists because my wife was the one every other mom texted at 10pm about warmup times, and because I watched new team families struggle with a program that everyone around them already understood.
